Job Title: Receptionist
Reports to: Finance and Administration Officer

Main Purpose of the Job
To provide critical support to the administrative and front desk function of AB Trust

Key Duties and Responsibilities
• Maintain hard and electronic office files and records; classify and code material relating to a variety of topics;
• Search and retrieve office files, and reproduce documentation and background material for reference and action as and when required;
• Receive, register, route correspondence and office pouch. Maintain a follow up system
•Draft routine correspondence, memoranda and reports. Format more complex documents by using the appropriate technology
• Carry out other office duties such as photocopying, handling incoming and out-going phone calls, and screening of visitors
• Assist in maintenance of office inventory and stocks of office supplies.
• Assist in monitoring the asset management to ensure all procurements and disposal of AB Trust property are done and recorded accurately.
•Following instructions from supervisor in making logistic and administrative arrangements for seminars, workshops, and briefings that may be required by the Office.
• Monitor routine provision of services and/or shifts from providers, as and when applicable;
• Monitor office/compound facilities and equipment and in consultation with the supervisor take appropriate action to ensure proper functioning at all time.
• Ensure that tea or any other meals during official hours and meet-
• Help in the supervision of any minor repairs and/or cleaning that need to be done in the office
• Any other responsibilities/functions deemed necessary by the supervisor/or senior manager in order to meet the level of the services in the organization.

Qualifications
•Diploma, technical or commercial school training in commerce. Business Administration, Office Management, Secretarial studies or other related field
•Minimum 4 years job experience relevant to the function;
•Excellent planning and organizing, communication, interpersonal computer skills
•Excellent knowledge of the local language, and English
•High degree of integrity and professionalism
