ADMINISTRATIVE ASSISTANT – REF. NO.:- KCO/HR/031/2010

Purpose:
To provide office support to the AMREF Clinic by ensuring effective co-ordination, planning and monitoring of office administrations, logistics, reporting and communication. The position reports to the Clinician and is stationed in Nairobi.

Key Duties and Responsibilities:
1.Administrative support and information flow: Receives and reviews correspondence. Is overall in charge of receiving and dispatching correspondence (including letters, faxes, email, telephone calls etc). Creating new files, retrieving and recording patients data in the register in a systematic manner and delivering the same to the Nurse.
2.Reception: Receives all visitors and acts as the first point of references for all queries. Giving priority to emergency cases in consultation with the Nurse.
3.Organizing: Coordinates the execution of events under the office including meetings, workshops/trainings and other work-related gatherings.
4.Reporting: Processes and distributes a variety of reports including minutes, monthly and annual reports as required. Capturing data in Excel for services offered to patients/clients to enable production of the monthly report and invoicing.
5.Information Management: Develops and maintains relevant databases and filing systems for optimal
management of information and contacts.
6.Office Management: Receiving, receipting and forwarding all money collected to the Finance Department daily and keeping proper records. Maintaining office inventory, stationery supplies and utility services.

Qualifications, Experience and Skills:
The ideal candidate should have a Diploma in Business Management or relevant discipline; a first degree would be an added advantage. Minimum of three (3) years work experience in busy environment; experience in the health sector would be an added advantage. Must be ICT proficient. In addition, the candidate should have excellent interpersonal skills, excellent written and oral communication skills, ability to prioritize duties and work under minimal supervision.
