Plan Uganda: PROCUREMENT COORDINATOR

PROCUREMENT COORDINATOR
(REF: PROC. C)
LOCATION: TORORO AND KAMULI

Procurement Coordinators report to the Administration Manager and are responsible for the process of acquisition of services, works, supplies or goods into the organization at Programme Area level. They will support the AM in implementation of procurement procedures and guidelines in line with the organization's specific requirements.

Major Responsibilities (Key Result Areas):
• Prepare and effective implement of procurement plans and ensure timely responses and deliveries of goods, services and works
• Prepare the request for bid documents (standard), contracts, local purchase orders, canvass sheets, and evaluation reports
• Coordinate the receipt of bids, bid evaluation and award procedures as per the guidelines to minimize or eliminate procurement related risks
• Ensure proper contract management
• Employ appropriate mechanisms to manage supplier relations
• Maintain and update the supplier data base and their appraisal
• Process supplier payments following set guidelines
• Ensure proper record keeping as well as accurate reporting
• Advise users on procurement related matters.
• Write orders in the line of responsibility and draft related correspondences

Required Competencies:
• A University Degree in social science/Arts, procurement or another related field.
• Post graduate training in management and procurement. CIPS qualification is an added advantage.
• Conversant with Micro Soft office applications i.e. excel, word, access and power point
• At least 4 years working experience in a relevant field.
• Prior management and supervisory experience
• Experience in preparation of solicitation documents for supplies, services and works.
• Strong hands on experience in evaluations of supplies, services and works
• Hands on experience in managing construction projects, renovations, and works. • Strong hands on experience in evaluations of supplies, services and works • Experience in community led projects is an added advantage
