Post: Administration Officer

The Administrative Officer is responsible for providing efficient administrative support to the Regional office. The Administrative Officer reports to the Administration Manager. The Administrative Officer works in direct cooperation with the Finance ^Administration Officer and is responsible for the supervision of support staff(cleaner, cook and gardener). The job objective is to manage the Kampala office and Guest house administratively and create a conducive working environment that is effective in supporting programmes

Tasks:
• Act as the first contact of ICCO with both internal and external clients including making and receiving calls, ensuring that visitors and guests are well attended to
• Ensure proper management of the guest house and maintain the level of service that can be obtained in the given circumstances
• Keep booking and reservations for use of the guest house
• Ensure smooth stores running by good stores monitoring and timely requisitions
• Reconciling utilities so that they can be paid on a timely
• Ensuring that office equipment are maintained in good working condition
• Making reservations for staff and visitors including hotel, flights and transportation
• Ensuring that all assets in Kampala office and the guest house are clearly marked and an asset tracking database is maintained.
• Repair and maintenance of assets

Qualifications and experience:
• Good knowledge of administration and skills in the hospitality industry
•Relevant education for the job
•Negotiation skills
•Good communication skills, including intercultural communication and communication with ecumenical actors
•Excellent language skills in English and a regional language
•Supervisory skills
•Basic knowledge of book keeping
