National Organization of Peer Educators (NOPE) seeks to recruit Finance and Administrative Assistants for the NPI SHAP Programme.

FINANCE AND ADMINISTRATIVE ASSISTANT (2)-Ref: – HR/2010/06-1
The New Partners Initiative (NPI-SHAP) programme is CDC supported and aims at scaling up comprehensive HIV Prevention Services for Most-at-risk Populations (MARPs) covering Nairobi, Kiambu and Nyanza (Kisii) regions in Kenya.

Reporting to the Program Officer, the incumbents shall be responsible for providing general accounting and administrative support to the project and will be based in Kisii and Kiambu.

Specific areas of responsibility will include;
1.Assisting in preparation of budget and financial reports in the field office
2.Supporting line Managers/Officers in budget implementation and monitoring
3.Receiving requisitions from field staff and ensuring timely approval and disbursement of activity funds in the project in liaison with the Finance and Program Officer.
4.Analyzing all official trips made by staff
5.Coding payment vouchers and files for data processing and/or payment
6.Reconciling all control and balance sheet accounts under own management and clearing all reconciling items periodically
7.Preparing relevant invoices to various clients for payments and maintaining debtors’ accounts in the project office
8.Keeping and maintaining all accounting records and fixed assets register
9.Coordinating the process of sourcing, purchasing and supplying goods to the project
10.Reconciling suppliers’ statements against ledger statements monthly and liaising with the respective suppliers in a bid to clear the reconciling items in the reconciliation
11.Preparing payment reports to suppliers/community groups , checking the reports against the corresponding invoices to be paid and maintaining suppliers ledger accounts and passing journal vouchers for necessary adjustments
12.Managing maintenance of office building and rental unit
13Manage utilities including water, electricity and security ensuring timely payment to avoid disconnection; appropriate usage as well as alternative supply options.

Qualifications, experience and skills;
The ideal candidates should have a minimum of a Bachelors Degree in Commerce (Accounting Option) with at least CPA II and three years work experience in an NGO. In addition the ideal candidate must have sound IT knowledge: – Word Processing, Spreadsheets, Databases and Quick Books.

The candidate should have high level of honesty, integrity, confidentiality and ability to work under minimal supervision. Excellent communication skills both written and oral and be a team player.
