Fintrac: Office Manager & IT Manager

Office Manager

A USAID-funded agriculture project with the goal of raising the incomes and food security levels of small-scale farmers wishes to recruit an Office Manager based in Nairobi.

Reporting to the Chief of Party, the Office Manager will oversee key parts of the project's administration. S/he will work closely with the Chief of Party in the day-to-day management of the project. Potential applicants must be self-directed and demonstrate an aptitude for working in a team environment, as well as be able to manage multiple assignments at the same time.

This position will be responsible for:
  • Managing Human Resources, including recruitment, benefits and administration;
  • Handling procurement and upkeep of all program equipment and furniture;
  • Supervising office supply purchasing and disbursement. Managing vendor relationships and coordinating purchase orders, and payments;
  • Supervising vehicle fleet management, including registration, repair, timely servicing, documentation, accident reports, and insurance;
  • Scheduling conferences, meetings, and assisting with travel arrangements and venue/hotel bookings;
  • Assisting staff with procurement needs including driving requirements, cell phones, business cards, orientations, documentation, and maintaining personnel files.
  • Ensuring that personnel policies and procedures are followed by all employees.
Applicants should have outstanding organizational skills and fluent written and spoken English and Swahili. At least five years work experience in office management or HR is essential. Experience with USAID or international donor programs is a plus.

IT Manager

A USAID-funded agriculture project with the goal of raising the incomes and food security levels of small-scale farmers wishes to recruit an IT Manager based in Nairobi.

The successful candidate will be responsible for providing IT support, systems maintenance and systems development services to staff based throughout the country.

This position will be responsible for:
  • Configuring and supporting software applications;
  • Managing IT security and continuity, including data backups, disaster recover procedures and updating anti-virus software;
  • Diagnosing and correcting networking problems;
  • Analysing user requirements, procedures and problems in order to provide effective solutions;
  • Maintaining and servicing all computer hardware and equipment;
  • Training users in IT software and hardware as needed.
  • Maintaining helpdesk support.
Applicants should have a minimum of five years relevant experience with 3 years in a leadership role and a degree in Information Technology/Computer Science or equivalent.

Professional ICT qualifications such as Microsoft Certified Systems Engineer (MCSE) or equivalent are desired.

Proven experience in ICT troubleshooting, network administration and SQL server administration is a must.

  1. The jobs of an IT manager is not so easy to carry. There are plenty of tasks to be performed likewise you have listed. Of all of them I think the data backup is the crucial one. Using automatic tool like the record management system will help to do this easily.
